Outrevio provides authenticated controls to export your account data, disconnect integrations, and request account deletion through a verified seven-day recovery window.
Download your data
Sign in and open Settings → Privacy & Data. Re-enter your current password and choose Download my data. Outrevio creates a ZIP with the information associated with your account, including your profile, CRM records, attachments, connected-service information, available meeting transcripts, AI activity, and account history. Passwords and other security credentials are never included.
Delete your Outrevio account
Sign in and open Settings → Privacy & Data. Re-enter your current password and request a six-digit deletion code. Enter the code sent to your account email, type DELETE, and choose Schedule account deletion. The account becomes inaccessible immediately and is scheduled for permanent deletion after a seven-day recovery window.
During the recovery window, Outrevio keeps the user-owned CRM graph isolated instead of deleting it immediately. First-party sessions are revoked, MCP access is denied/revoked, WhatsApp linking is disabled, and stored calendar, email, and meeting-provider credentials are cleared or disabled so old integrations cannot silently reactivate. Imported CRM and meeting history remains stored until the final purge. Gmail and Outlook Email metadata that was only fetched for transient review is not maintained as a general mailbox cache; email information that you explicitly saved as CRM data remains part of the CRM graph until final purge. If the deletion is reversed, affected external services may need to be connected again. Provider-side Zoom, Microsoft, Google, Meta, or other records remain governed separately by the provider's own account controls and retention practices.
Meeting transcript retention
Provider-generated Zoom and Microsoft Teams transcript text is kept in Outrevio for 90 days from import, then removed automatically. Limited meeting and participant information may remain while the provider integration stays connected.
Retained security and audit records
Outrevio may retain bounded security, diagnostic, or audit events for the retention periods described in the Privacy Policy. The current application baseline is 30 days for diagnostic events, 365 days for audit events, and 730 days for security events. When permanent purge occurs after the recovery window, retained Outrevio system-event records are detached from the deleted account rather than kept as an active user profile. Infrastructure providers and connected third parties may maintain their own records under their own retention rules.
Disconnect without deleting your account
Open Settings → Integrations to disconnect Google Calendar, Outlook Calendar, Gmail, Outlook Email, WhatsApp, Zoom, Microsoft Teams, or a connected AI app without deleting your Outrevio account. Disconnecting Gmail or Outlook Email clears Outrevio's stored mailbox access credentials for that provider; it does not delete email from the provider. Disconnecting Zoom or Microsoft Teams removes that provider's imported meetings and transcripts from Outrevio. CRM records you explicitly created from reviewed calendar or email metadata remain normal CRM records until you edit/delete them or permanently delete the Outrevio account. You can also remove Outrevio access from the provider's own account settings where available.
Other privacy requests
You can correct profile and CRM information directly in the product. A request involving a person who is not an Outrevio account holder must be handled without revealing whether that person appears in another user's private CRM.
